Vendor spaces will not be reserved without payment in full, a valid certificate of insurance, additional insured endorsement and release of liability. Please be aware that some of the wording on the certificate of liability insurance and the additional insured endorsement rider may be changing prior to the start of our first show. Please contact Susan Nelson at 707.537.0382 prior to ordering your certificate and endorsement from your insurance company, as there may be some changes in the text that is required.
Vendor Booth Size
Vendor booth rates are based on size. This includes pop-outs, stands and displays that extend beyond your tent, booth or mobile unit. Electrical amperage and RV space are separate fees and are not included in the vendor booth rate. Booth space is limited and subject to availability. Submit your application early, so we can be sure to reserve your space! Vendor spaces will not be reserved without payment in full prior to the show. Please be sure to indicate any specific electrical needs, as we will try to accommodate them. Your Vendor Application must be submitted to Sonoma Horse Park for its review, and your Vendor Application will not be effective unless accepted by Sonoma Horse Park, in its sole and absolute discretion. Vendors must provide their own booth setups. Sonoma Horse Park will not order nor supply tents, water hoses, or extension cords. Vendor placement will be based on electrical needs, reservations and schedule. Please be sure to indicate, on your contract, your specific electrical needs, as we will try to accommodate them.
A chart of vendor placement will be posted prior to the start of the horse show. Vendors can set up 12:00 PM on Monday through 5:00 PM Monday prior to the show. If you prefer to set up Tuesday, please contact Susan Nelson at 707.537.0382 to confirm arrival time. No vendor set-ups/drop-offs will be allowed at night after 5:00 PM or while the horse show is in progress. All set ups must be removed on Sunday after the conclusion of the horse show. When you arrive, please check in at the horse show office and you will be directed to your assigned space.
Vendor Insurance Forms
Please be aware that some of the wording on the Certificate of Liability Insurance and the Additional Insured Endorsement rider may be changing prior to the start of our first show. Please contact Susan Nelson at 707.537.0382 prior to ordering your certificate and endorsement from your insurance company, as there may be some changes in the text that is required.
Vendors shall obtain and keep in full force a policy of commercial general liability insurance (including but not limited to pubic liability, broad form property damage, personal injury, broad form contractual liability and owner's contractors protective) with an insurance company or companies that is acceptable to SHP in its sole discretion. The policies shall name Vendor as the insured and SHP, as well as the other entities listed below, as additional insured. The minimum limits of liability, which may be increased at SHP's sole discretion, shall be as follows:
- $1,000,000 Per Occurrence
- $2,000,000 Products Aggregate
- $2,000,000 Policy Aggregate
Vendors will cause all such insurance policies to be properly endorsed to provide that the applicable insurance company or companies will provide SHP thirty (30) days' prior written notice of termination, alteration or change in the policies and ten (10) days' written notice of non-payment of any premium. SHP may at all times inspect the policies carried by Vendor.
Vendors shall provide evidence of such insurance by depositing certificates of insurance along with additional insured endorsements with SHP, at least thirty (30) days prior to each Event in which Vendor will participate. The certificates and endorsements shall together provide that the following entities are additional insureds and that such insurance afforded the additional insureds is primary and non-contributing with any other insurance that the additional insureds may carry:
- Sonoma Horse Park, its officers, directors, managers, employees, owners, representatives and agents
- Riverside Equestrian Center, its officers, directors, managers, employees, owners, representatives and agents
- Burgundy Farms, its officers, directors, managers, employees, owners, representatives and agents
- Headlands Management, its officers, directors, managers, employees, owners, representatives and agents
Vendors will not be allowed on the horse show grounds without a valid certificate of liability insurance and additional insured endorsement.
2013 Sonoma Horse Park Show Series Discount
Vendors who sign-up for 7 shows will receive a 10% full series discount. To receive discounts, booth and electrical fees must be paid in full by May 1, 2013.

RV spaces are available for rent for Vendors during the 2013 Sonoma Horse Park horse show season. RV spaces must be reserved in advance.
Please click on the RV Application form and mail your completed form along with your Vendor application/contract, required insurance forms and RV & vendor booth payments. Please note that the RV space rental fee is a separate fee, not included in the cost of the vendor booth space fee.
Due to high demand for RV parking, spaces will not be reserved without a completed RV application form. All RV space reservations will be accepted on a first reserved, first served basis. A Sonoma Horse Park representative will assign RV trailer spaces. If space fills up, a waiting list will be established but with no guarantee of space. RV trailers may arrive at the facility on the Monday prior to the horse show begins and must depart on Sunday at the conclusion of the horse show. If you would like to arrive on Tuesday prior to the show, you must have a written agreement from Sonoma Horse Park in advance. NO EXCEPTIONS!
2013 RV Trailer Space Fee (per show) $325
(Includes water, pump-out service on Thursday and Sunday & 30 amps of electricity)
Additional Electrical Fee for 50 amps (per show) $150
(A limited number of 50 amp RV spaces will be available on a first reserved, first served basis)
